Annual Offsite 2026 — Proposal

Pre-check before we plan: Aditya set the budget at ~SGD 1,000/person all-in (~SGD 35k for 35) and asked us to verify flight prices first. Nidhi suggested Kuala Lumpur; we're now putting it side-by-side with Ho Chi Minh City (HCMC) so we can decide on cost, visa friction, direct flights, hotels and weather together. Verdict: both clear the budget — KL is cheaper and lower-friction; HCMC is the fresher vibe with cheaper local transport. KL stays the recommendation.

Bottom line: KL wins on the two things that matter most for a 34-person multi-passport team — cost and visa friction. HCMC is genuinely competitive (hotels comparable, transfers far cheaper, fresh destination) and is the right call if Nidhi wants somewhere new. Where the gap comes from: HCMC is dearer from Singapore (KL is a S$150 hop vs ~S$280 to SGN), Abu Dhabi (Etihad nonstop to KUL vs 1-stop to SGN), and the secondary EU cities (Sevilla/Genova price as long 2-stops). HCMC is cheaper from Hanoi (domestic hop), Delhi, Hyderabad and Kashmir. Note Udaya is KL-local (no flight) but would fly KUL→SGN (~S$200) for HCMC — that one extra seat is part of the gap. Caps are ceilings set just above researched economy fares (Jun 2026, airline sites + Skyscanner/Kayak/Google Flights). Re-confirm live once a date is locked.

Both cities track the same seasonality — Sept windows are cheapest. KL runs ~SGD 2,400–2,700 below HCMC in every window. Sep 6–9 / Sep 13–16 are the cheapest, and Sep 6–9 is the only one of those that's clean on birthdays.

HCMC strengths: Hanoi is a 2h domestic hop (cheapest leg of either city), and Paris & London have Vietnam Airlines nonstops. Weaknesses vs KL: Chennai loses its nonstop, Abu Dhabi needs a connection, and Singapore costs more. Connection-dependent legs (Chennai, Kashmir, Ranchi, Abu Dhabi, Sevilla, Genova) are rougher estimates — book through-tickets.

Hotels are broadly comparable — KL's mid-range is a touch cheaper and it has more sub-S$120 conference hotels. Both can house 35 + run a 2-day conference. If we share twin rooms (~18 rooms vs 35), halve these totals. Conference day-delegate rate (room + 2 breaks + lunch): KL ~S$3,500–5,600 for 2 days; HCMC ~S$4,200 (4★) to ~S$5,950 (5★).

Sep weather is the big filter. KL/Penang are fine (no typhoon); HCMC is in rainy season (afternoon downpours, but rarely all-day). Bali is the only beach pick in dry season. Phu Quoc uniquely needs zero visas (island 30-day exemption) but Sep is its rainy month with weak flight access. KL stays the Sep call; HCMC is the strongest non-Malaysia option.

This is the clearest split between the two: KL needs 1 visa (Minahil); HCMC needs ~22 eVisas — every Indian passport (19) plus Minahil and Devansh must file a Vietnam eVisa (~US$25, ~3–5 working days). That's a real admin lift for the team. *Indian Malaysia waiver valid to 31 Dec 2026. EU/UK/Russian are visa-free 45–60d for Vietnam. Malaysia needs the free MDAC card; Vietnam eVisa is online.
